Job Summary
The Proposal Manager is responsible for leading the end-to-end proposal lifecycle for Enterprise Imaging and Clinical AI opportunities, from opportunity assessment and bid strategy through compliant submission, finalist preparation, and handoff to contracting and implementation. This role coordinates Sales, Sales Operations, Product, Marketing, Finance, Legal, Security, and Implementation partners to produce accurate, differentiated, customer-focused responses to RFPs, RFIs, and RFQs.
Essential Duties and Responsibilities
• Lead end-to-end responses to RFPs, RFIs, and RFQs, including schedules, requirements matrices, content assignments, review cycles, and submission approvals.
• Analyze solicitation requirements to identify customer priorities, compliance obligations, risks, and competitive differentiators.
• Facilitate proposal kickoffs, strategy sessions, content reviews, and final approval gates with Sales and cross-functional contributors.
• Translate Enterprise Imaging and Clinical AI capabilities into clear customer-focused narratives, value propositions, and executive summaries.
• Coordinate pricing, assumptions, and commercial terms with Finance and Commercial Operations; partner with Legal, Compliance, Privacy, and Information Security on contractual and regulatory content.
• Edit multi-author contributions into a cohesive, compliant response with consistent voice, accuracy, and supporting documentation.
• Prepare sales and leadership teams for customer presentations, demonstrations, and finalist meetings.
• Build and maintain a centralized library of approved proposal content, templates, product descriptions, security responses, references, and version-control standards.
• Track proposal activity, turnaround times, win and advancement outcomes, and common objections; run post-submission and post-decision reviews to improve quality and speed.
• Escalate resource constraints, risks, and decision points early, and support orderly transition from proposal to contracting, implementation, and customer success.
Job requirements
Minimum Qualifications, Education and Experience
• Bachelor's degree in business, communications, marketing, healthcare administration, technology, or a related field, or equivalent practical experience (required).
• 8+ years of experience in proposal management, bid management, sales operations, commercial enablement, or a related discipline (required).
o Demonstrated experience leading complex, cross-functional RFP and proposal processes (required).
o Exceptional writing, editing, organization, and project management skills (required).
• Ability to understand technical and clinical concepts and communicate them to executive, operational, clinical, and technical audiences (required).
•Strong attention to detail with the ability to manage multiple deadlines and priorities (required).
• Experience with enterprise software, healthcare technology, medical imaging, artificial intelligence, or a similarly complex industry (required).
• Proficiency with Microsoft Word, PowerPoint, Excel, SharePoint, and proposal or content-management platforms (required).
• Strong interpersonal skills and the ability to influence stakeholders without direct authority (required).
• Preferred: Experience with Enterprise Imaging, PACS, RIS, VNA, clinical workflow, interoperability, cloud technology, and healthcare AI solutions.
• Preferred: Knowledge of healthcare delivery systems, radiology operations, clinical workflows, and healthcare procurement.
• Preferred: Familiarity with HIPAA, cybersecurity questionnaires, data privacy requirements, and healthcare technology contracting.
• Preferred: Experience supporting large health systems, imaging networks, academic medical centers, or enterprise healthcare customers.
• Preferred: Association of Proposal Management Professionals (APMP) certification or comparable proposal-management training.
• Preferred: Experience developing executive-level presentations and supporting customer finalist meetings.
